Step-by-Step Explanation of the Chart (From start to Arrivalfor Japan)

Step 1: Start to study Japanese Language

First, get admitted to our institute and begin studying the Japanese language for 4–6 months. During this period, we will search for an appropriate and accredited Japanese college for you. Make sure you meet the basic requirements (completion of Grade 12 and financial capability). Major intakes are in January, April, July, and October.


Step 2: School Application & Admission

We will submit your application package to the selected Japanese college (application form, academic certificates, passport copy, proof of Japanese study, relationship certificate, etc.). The college will conduct an interview for admission. Once you pass the interview, you will receive a Letter of Acceptance (LOA) from the Japanese college.


Step 3: Application for Certificate of Eligibility (COE)

The Japanese college acts as your guarantor and submits your COE application along with all required documents to the Regional Immigration Services Bureau in Japan. This is the most critical stage for approval. Processing typically takes 2–3 months.


Step 4: COE Issuance & Payment of Fees

If your COE application is approved, the Immigration Bureau issues the certificate and sends it to the college. The college will then request payment of tuition and other required fees. After your payment is confirmed, the college sends the original COE to Shiritsu Japanese Language Institute.


Step 5: Visa Application at VFS / Embassy

Submit your COE, passport, visa application form, photo, and required language certificate to apply for your student visa. The Japanese Embassy may call you for an interview. Once approved, the embassy will affix the Student Visa to your passport.


Step 6: About Service Charges

Pay Service Charges to the Consultancy.


Step 7: Prepare for Departure

Get ready to travel to Japan = purchase your air ticket, exchange foreign currency, and complete necessary shopping and packing.


Step 8: Enter Japan

Enter Japan within the COE’s 3-month validity period. Upon arrival, you will receive your Residence Card at the airport. Your status of residence will be marked as “College Student.”


Step 9: School & Life Setup in Japan

Attend your school’s orientation session and bring your passport, residence card, and Letter of Acceptance. The college will guide you through procedures such as municipal registration, opening a bank account, and other essential settlements.
